The Hong
Kong Institution of Engineers (HKIE) – ITD, END, CAD & AMC divisions
organized the seminar named “ISO Document Management System for Architecture,
Engineering and Construction (AEC)” on 7th Oct 2016. In daily workflow and business operation, it
is inevitable for construction firms to deal with numerous documents from
suppliers, partners and customers, whereas traditional practice of manual
filing requires excessive manpower and lower the productivity. In this seminar,
the use of IT technologies to assist AEC firms on document management to
improve efficiency was discussed. In the
beginning, Ir. Ricky K.T. Wan (Committee Member, ITD, HKIE) introduced the
topic and gave opening speech.
Ms. Emma
Wong (Business Development and Marketing Manager, Computer and Technologies
Holdings Ltd.) was the seminar MC.
I was
honor to be the first speaker invited by Mr. Steve Yeung (VP, Computer and
Technologies Holdings Ltd) and my topic named “ISO Management System at HKSTP
(eDMS past, present & future)”.
Firstly, I introduced HKSTP vision, mission and values. We would like to achieve that through 3 key
words: Connect, Collaborate and Catalyse.
Then I introduced
HKSTP’s ISO journey included ISO 9001, ISO 14001, OHSAS 18001, ISO 27001, ISO
17025 (CNAS & HOKLAS), and ISO 50001 since 2004.
After
that I briefed the ISO 9001:2015 new requirements and focus areas. I explained the “Document” characteristics
included “Communication of Information”, “Evidence of Conformity” and “Knowledge
Sharing”. Then the Documented
Information in Session 7.5 of ISO 9001:2015 was briefed.
Finally,
I briefed the development history of electronic document management system since
2004. I asked one of our engineers to program the electronic document system
(EDS) for small scale use in laboratory.
After the corporate decision to expand our ISO 9001 QMS from laboratory
to the corporation, we needed to enhance the existing EDS. We employed VitalDoc and tailor-made
different ISO workflow so as to fill security requirement. In 2009, we employed the new system named electronic
document management system (eDMS).
Recently, we would like to further enhancing our eDMS to be more user-friendly
and compatible to other system in Corp IT.
The second
speaker was Ir. Harry KY Chan (Chartered Civil Engineer, Datawise Limited) and
his topic entitled “Digitisation Construction Management”. He would discussed Data Driven Construction
Management, Enterprise Content Management and Construction Management of Cost
Control.
Firstly,
he defined the digitization in construction management through the Building
Information Model (BIM) from Cost estimate package to E-tendering to Cost/schedule
management and to Facility management.
Then he
mentioned the Data Driven Framework in five steps. However, construction industry in Hong Kong
was struggling to cope with “Reporting”. From global survey, the current status that
construction industry was under “Document centric state”, automotive industry
was under “Transition state” and Defence / Nuclear / Aerospace Industries were
under “Advanced digital state”.
Ir.
Harry Chan said a good DMS was full visibility of all projects information,
cost, progress and forecast at finger tips.
However, most construction SMEs depended on Excel spreadsheets. The following diagram showed that if the degree
of complexity in task increased, the difficulty in solving problem was also
increased. Finally, he concluded that
the construction industry had the potential to become fully integrated based on
an end to end, digital process from a common, real time, database of
information, to design buildings.
Mr.
Tommy Choi (Business Development Manager, Computer and Technologies Holdings
Ltd) was the last speaker and his presentation was “Practice makes perfect:
Practical use of Document Management Solution”. He introduced Enterprise Information Management
(EIM) solutions included Capturing, Sharing and Processing.
Then he
introduced VitalDoc AEC for New Engineering Contract (NEC) process. They developed the VitalFlow - process management.
At the
end, he demonstrated the hardware (scanner) and software for quick scanning and
recording for documents archive. It was
very fast scanner and software response was very good during the demonstration.
Then all
speakers took a group photo with Ir. Prof. Louis Lock and HKIE committee
members.
